Manage vendor onboarding (RFP, agreement, vendors monthly invoices both food and travel vendor based on camps conducted and certificates completed)
Verify travel vendor invoices with Assistant Manager
Track bootcamp budget based on the invoices and highlight any major discrepancy proactively.
Support Manager in assigned data validation and timely closing on validation process to ensure invoices can be raised on time by the trainers, which would include:
Downloading and organizing data in designated folders
Completing assigned validations
Validations including
100% certificate verification
and
sample-based ID proof checks
Raise data quality issues & discrepancies in your data so they can be resolved without impacting invoicing timelines
Flag any inconsistency in the invoices being raised
Ensure expenses are mapped to actual camps conducted
Process payments only after Validation confirmation from Manage
Maintain bootcamp-wise financial tracker
New Resource – Reimbursement Tracking & Documentation
Track and tally all travel reimbursement claims submitted by trainers and consultants
Maintain and regularly update pending vs received reimbursement tracker
Manage invoice vs bootcamp mapping and ensure accurate linkage
Support completion of reimbursement documentation in coordination with team
Ensure no missing invoices or supporting documents before processing claims
Maintain a centralized, audit-ready repository for all IBM program requirements, including:
Geo-tagged pictures
College confirmation emails
Bootcamp cancellation emails
Other required compliance documents
Ensure all documentation is properly organized, complete, and easily accessible for audits and reporting
Qualifications & Requirements
Bachelor’s degree in any field like
commerce, Business Administration, Finance, or related field
0–3 years of experience in
operations, program coordination, finance support, or admin roles
Strong proficiency in
Excel / Google Sheets
(trackers, data management, basic formulas)
Good understanding of
documentation and reimbursement processes
(preferred)
Collaborates closely within the team, ensuring seamless coordination, timely follow-ups, and shared ownership of program deliverables.
Problem solving skills, proactiveness, accountability and attention to details.
