DUTIES AND RESPONSIBILITIES:
1. Process Governance, Architecture & Continuous Improvement
Continuously assess existing ITAM and procurement processes to identify gaps, inefficiencies, and control weaknesses based on best practices & industry standards
Proactively design, architect, and implement
new processes, workflows, and controls
to improve operational effectiveness and scalability in ITAM
Lead process reviews and governance discussions to ensure ongoing optimization and adherence
Establish and maintain documentation for all processes, workflows, and control mechanisms
Identify opportunities for
automation and tool optimization
(especially within ServiceNow)
2. IT Asset Lifecycle Management
Manage full lifecycle of IT hardware assets (procure → deploy → maintain → retire/dispose)
Ensure asset data accuracy and integrity in CMDB/AMDB & Updates in AMDB / CMDB
Govern asset refresh cycles, lease returns, and disposal activities
3. Procurement Governance & Control Inventory Optimization & Redeployment
Develop Centralized Purchasing Process & Act as
central point of control for EUC device procurement
Review and validate all purchase requests before order placement
Enforce
inventory-first allocation
before approving new purchases
Support/execute ordering via approved vendor portals
Validate global and local inventory before procurement approvals
Identify surplus hardware and drive
redeployment across locations
Enable and coordinate
cross-site asset transfers
Reduce excess and aging inventory
4. Tooling & Workflow Management
Administer and optimize
ServiceNow ITAM/HAM and catalog workflows
Manage procurement request lifecycle via ServiceNow
Leverage discovery tools (SCCM, JAMF) for reconciliation
Drive automation and integration across IT systems
5. Data, Reporting & Analytics
Develop, Execute, & Analyze ITAM Reports, ex:
Asset inventory levels
Purchase trends
Utilization and redeployment metrics, etc.
Deliver insights to improve cost efficiency and asset usage
Publish reports (aging assets, renewals, lifecycle status, procurement trends, etc)
6. Financial & Vendor Coordination
Review vendor invoices and resolve discrepancies
Support contract renewals, lease tracking, and vendor discussions
Partner with Management for cost optimization and standardization
Participates in key asset decisions and negotiations with vendors and asset maintenance renewals
7. Stakeholder Management
Collaborate with:
Field Services Globally
Site IT Leaders
Procurement and HAM teams
Finance Team, etc
Act as SME for HAM and procurement governance processes
Drive adherence through continuous stakeholder engagement
8. Collaboration
Provides support in all aspects of ITAM as needed - which includes, but not limited to, hardware, Software, services, vendor management, etc.
Performs other related duties and projects as business needs require at direction of management
TECHNICAL EXPERTISE:
Bachelor’s degree in Information Systems and Technology,
Information Technology Infrastructure Library (ITIL) certification (v3 / v4), required.
8~10 years of relevant IT asset management operations experience must
Service Now
Experience Must (ITAM/HAM + Catalog workflows) &
Should be Proficient in Excel & Analytics
Previous experience of reviewing and interpreting IT contracts, service level agreements, and right to use validation.
Knowledge of Microsoft SCCM, CMDB, JAMF will be added advantage
