Front Office Executive-
Key Responsibilities
Reception & Customer Service: - between 9-6pm or in case of high profile visits
Greet and assist visitors, tenants, and clients in a professional manner
Manage visitor registration
and access control procedures
Answer and direct phone calls, take messages, and handle inquiries
Maintain visitor logs and issue temporary access badges
Coordinate meeting room bookings and setup
Administrative Support:
Handle incoming and outgoing mail and packages – all packages will be directed to the mail room by asking the Mailroom resource to come & collect the same.
Maintain reception area cleanliness and organization
Update tenant directories and building information displays
Process tenant service requests and work orders
Support property management team with administrative tasks
Security & Compliance:
Monitor building access and security protocols
Report security incidents or maintenance issues –visitor areas & in and around the lobby, as the FOE should be available in the reception area
Ensure compliance with building safety procedures
Coordinate with security personnel when needed
Communication & Coordination:
Relay important information to tenants and management when required
Assist with tenant communications and notices
Support property events and tenant activities
Maintain professional appearance and demeanor
Required Qualifications
2nd PUC and diploma or equivalent (Bachelor's degree preferred)
1-3 years of reception or customer service experience
Excellent verbal and written communication skills
Proficiency in MS Office and basic computer applications
Professional appearance and strong interpersonal skills
Ability to multitask and work in fast-paced environment
Preferred Qualifications
Experience in commercial real estate or property management
Bilingual capabilities
Knowledge of building management systems
Customer service certification
