Key Responsibilities
1. Documentation & Record Keeping
Maintain project documents (drawings, contracts, reports)
Handle incoming/outgoing correspondence
Track daily reports, work progress, and site logs
Ensure proper filing (both digital and physical)
2. Coordination & Communication
Act as a link between site team, head office, vendors, and clients
Schedule meetings and prepare minutes (MoM)
Assist project managers and engineers with admin tasks
3. HR & Workforce Support
Maintain attendance records of workers and staff
Handle onboarding formalities for site workers
Coordinate accommodation, travel, and site facilities
4. Procurement & Inventory Support
Assist in raising purchase requests (PRs)
Track material deliveries and stock records
Coordinate with procurement and store teams
5. Billing & Financial Assistance
Support invoice processing and vendor bills
Maintain expense records and petty cash
Assist accounts team with documentation
6. Compliance & Site Facilities
Ensure site complies with company policies and basic regulations
Manage office facilities (site office setup, supplies, utilities)
Support safety documentation (though handled mainly by HSE team)
🛠️ Required Skills
Strong organizational and multitasking ability
Good communication (written & verbal)
Proficiency in MS Office (Excel, Word, Outlook)
Basic understanding of EPC project workflow
Attention to detail and time management
🎓 Typical Qualifications
Bachelor’s degree (BBA, BCom, BA, or similar)
10–20 years of experience in construction/EPC/admin roles preferred
