A bout the position We are seeking an experienced, highly organized, and proactive Administrative Assistant to provide comprehensive administrative support to our Senior Leader/Board of Director in Chevron ENGINE. This role is central to ensuring the executive’s time, priorities, and strategic initiatives are managed with precision and professionalism. The ideal candidate thrives in a fast-paced environment, exercises impeccable judgment, and brings a high degree of confidentiality, communication excellence, and stakeholder management capability. This position requires a professional who can anticipate needs, solve problems independently, and represent the Executive Office with credibility and discretion. Chevron ENGINE supports global operations, and work hours are aligned to business needs. Standard working hours are 8:00 AM to 5:00 PM or 1:30 PM to 10:30 PM, Monday to Friday. These may evolve based on operational or business requirements. Key Responsibilities Executive Support Independently manage complex and dynamic calendars, appointments, and multi-time-zone scheduling. Coordinate end-to-end domestic and international travel, including visas, itineraries, logistics, and trip briefing documents. Prepare meeting agendas, talking points, and follow-up on action items. Prioritize and manage internal and external communications, ensuring timely responses and identifying critical matters requiring executive attention. Act as a trusted liaison between the C-Suite Executive and internal/external stakeholders. Administrative & Operational Excellence Prepare, proof-read, and edit reports, correspondence, and executive-level documents with high accuracy. Maintain well-structured digital and physical filing systems for secure and efficient document retrieval. Support budgetary tasks, including expense reports and purchase orders in line with company policies. Handle onboarding/offboarding coordination for team members, including system access and equipment setup with the help of responsible functions. Maintain and real time update of organizational charts, executive bios, and departmental documentation. Event & Project Coordination Lead / coordinate end to end logistics for leadership meetings, conferences, town halls, and high-profile events. Partner with cross-functional teams to ensure seamless executive participation. Assist with strategic projects, research, data gathering, and preparation of executive dashboards or reports. Support onsite event operations when needed. Stakeholder & Communication Management Serve as a key point of contact for senior internal leaders, global teams, clients, and external partners. Draft professional correspondence, internal communications, and executive announcements. Ensure clear and timely communication of updates, decisions, and actions across relevant teams. Build productive working relationships across multiple business functions and global time zones. Required Experience 12+ years of administrative experience  in a global multinational company environment with Senior Executive(s) office. Demonstrated ability to handle highly confidential information with discretion and integrity. Strong proficiency in Microsoft Office Suite / Workday. Excellent verbal and written communication skills with a strong command of English; proficiency in Kannada is an added advantage. Proven ability to manage competing priorities in a high-pressure, fast-paced environment. Strong organizational, time management, and multitasking abilities with exceptional attention to detail. Professionalism, strong interpersonal skills, and ability to engage effectively with senior stakeholders. Preferred Qualifications Bachelor’s degree in Business Administration, Management, or related field. Experience supporting global executives or working across international teams. Prior experience coordinating international travel and executive events. Ability to anticipate needs, take initiative, and operate with minimal supervision.
